eLearning can add additional users to Canvas courses upon request from the Instructor or owner of a course -- if you are not the Instructor/owner of the course, please ask them to complete the form on your behalf. This form supports all additions to Canvas courses that we are allowed to do. When adding people to courses, we have to follow FERPA regulations. If a student is in the Canvas Course, then only the instructor who was assigned to that course can have access to that course unless for an ARC, Pre-Approved Lab technologist for pre-approved courses, a Librarian who is providing instructional support, an Accessibility Specialist from SAS, and Pre-Approved FERPA trained Navigator and Peer Mentor (COL 101 Only). To request to add users to a Canvas course, review the March 27, 2017 Memo from Dave Stolier, Washington State Sr. Assistant Attorney General, then click on the Request Service button on the right-hand side of the screen and fill out the form.
Observers (ARC)
Online Course Observations for ARCs and faculty evaluations occur every Tuesday-Thursday of the quarter, other than the first week of instruction and finals week. Course Observers who are faculty or Admin can be added directly to the course being observed, while student observers must have a course shell created for them -- both requests can be accommodated. When choosing which observer to add to your course, any staff (faculty/admin/staff) being added to your course, please select Faculty Observer. If you are requesting to add a student to your observation, please select Student Observer.
Additional instructors must be added to credit-bearing Canvas classes by adding them to the course roster in ctcLink to make sure that their Faculty Workload is calculated properly. If you have an additional instructor (lab teacher, substitute), please reach out to your Administrative Assistant (AA4) to have them added via ctcLink. eLearning cannot add instructors directly to Canvas for this purpose.
As of Spring 2024, Tuition Waiver students can register directly for their courses and do not need to be manually added by eLearning. Please check with Enrollment Services if you have any questions about this process.
Peer Mentors are student employees who support COL 101 courses. Please only request the addition of a Peer Mentor for COL 101.
Cohort programs often have FERPA-trained Program or Course Navigators who support students through the course. This form must be filled out by the instructor of the course to be processed. If you are the Navigator for a course, please send the link for this form to the instructor for completion.
Some STEM courses have FERPA-trained Lab Technicians who support students through the course. This form must be filled out by the instructor of the course to be processed. If you are the Instructional/Lab Technician for a course, please send the link for this form to the instructor for completion.
Librarians can be added to any course only if they are providing Instructional Support. Please contact the Librarian directly before requesting they be added to your course.
Students who have filed an incomplete for their course cannot be added to any new courses to complete their coursework. They should remain in their former course to finish the required work they missed, or you can create a manually created course if you want them to complete assignments that are different now that the course is over per your contract with that student. To facilitate this, you can visit the 'Students With Incomplete and FERPA Guidelines' support article for step-by-step instructions on extending the course end date. This extension will allow the student (all students in the course) access to your course material even after the official end of the quarter, giving them the necessary time to complete their coursework.
