Hosting an Internal Event on Campus

Are you planning an event on campus for students or the community? Please see the following information to help you be better prepared and connect you with the staff who can help with the various aspects of your event. Contact us if you have any questions at: events@shoreline.edu.

Please use this Internal Events Request if your event meets any of the following criteria: 

  • Community members from outside of the college will be attending.
  • Is scheduled in the #1600 Theater, #4107 Black Box Theater, or #3000 Gymnasium
  • Will require an extensive room set up in the #9000 PUB or Theater Lobby.
  • Takes place after-hours (after 5pm/weekend/holidays) and requires coordination with security, facilities, and custodial. 
  • Occurs during college business hours – requiring parking passes.
  • Food will be served, including catering or food trucks.
  • Estimated attendance is over 100 people.
  • Would like additional assistance from the Events Department.

Space scheduling: 25Live is SCC’s campus scheduling platform. Check for availability prior to requesting a space on campus.

  • Classroom and Public Spaces: Contact Jenifer Aydelotte jaydelotte@shoreline.edu or request directly in 25Live. 
  • #3000 Gymnasium Requests: Contact athletics@shoreline.edu for availability and scheduling process. 
  • #1600/4107 Theaters: Contact jnold@shoreline.edu in addition to submitting the Internal Events Request.

  • Paid Speakers: Complete a Non-Employee Agreement for Services and contact the Business Office with questions.
  • Food Trucks: Instructions for food trucks is contingent on terms of payment. Contact Gayla Hocker, ghocker@shoreline.edu for more specific information. 
  • Requesting food: Complete a Meals and Light refreshments form. After receiving Department approval check out a credit card from the Cashier’s office to purchase the food. ·
  • Alcoholic beverages: Complete the Authorization to Serve Alcoholic Beverages on Campus & Apply for Liquor Permit.
    • Department and Business Office approval is required via documentation.
    • Campus Security is required to be present during the time that alcohol is served, which will incur a charge of $60hr. The associated documentation outlines steps for WA State permitting and requirements.
