Student Feedback Forms for CES Administrators

Course Evaluations & Surveys (CES) is an online course evaluation tool by Watermark. The following information is applicable to users with the Administrator role in CES. At Shoreline, some AA4s, senior secretaries, and program coordinators are set up as Report Administrators and therefore have an Administrator role in CES.  

Student Feedback Forms Overview

For an overview of how Student Feedback Forms (SFF) work at Shoreline, view Student Feedback Forms Overview. Please note that before July 1st, 2024 these were referred to as student evaluations or instructor course evaluations. 

Notification Email

Two weeks prior to the quarter starting, Learning Resources sends an email to those on the distribution list requesting updates to course codes or division heirarchy since the last quarter. The information is located on the Division Info tab on the Instructor Course Evaluations spreadsheet. If these are not listed correctly, CES administrators and instructors will not have access to evaluation results. If any updates are needed, submit a request.

The distribution list is located on the Division Info tab on the Instructor Course Evaluations spreadsheet. Please submit a request if you need access to the spreadsheet or would like to be added or removed from the distribution list. 

SFF "Projects"

Several projects are created each quarter for various reasons. To understand what the project title means, see below. 

2024 Winter Evaluations 2/14/24 - 2/28/24 Project 7

  • Winter 2024: quarter and year
  • 2/14/24 - 2/28/24: the dates when the evaluation is available for students
  • Project 7: the 7th project that was set up for that quarter

CES Email Notifications

  • Instructors receive an email notification 10 days prior to the launch of the SFF.
  • Instructors and students receive another email notification the day the SFF are launched.
  • Students receive email reminders to complete SFF if they have not been completed, and can opt out if the choose. 
  • Students receive a Certificate of Completion in their email after the SFF is completed.
  • CES Administrators receive an email the day after the survey ends notifying them the SFF results are available.
  • Instructors receive an email the day after final grades are submitted notifying them the SFF results are available. 

CES Login Instructions

  • CES login link: shoreline.evaluationkit.com/MyEval/Login.aspx
  • Your username is your email address.  
  • If you are new to CES  or forgot your password, please go to CES and click on forgot your password to create a new password.

Understanding Desktop View

  1. After you log into CES, you will see the Response Rate Tracker for the most recent projects. Use the slider button on the right to view more projects. 
  2. Below the Response Rate Tracker, you will see Project Results which will show the most recent projects, including active ones.

SFF Results

  • CES administrators can access results the day after instruction ends.
  • Faculty can access results the day after grades are due. 
  • Students do not see results. 
  • Faculty do not see results other than their own. 

View/Print Response Rates

  1. To view and print response rates, log into CES​​​​​, click Results, then click Response Rate Tracker.

  1. Select the Status and click the Search button.

  2. You will now see all the projects and response rates for the search criteria requested.

  3. Click the arrow under View on the right side of the screen, an Excel file will download to your computer with the response rates for each course and instructor in that particular project.

View/Print Instructor Results for a Single Project

  1. To view and print instructor results, log into CES​​​​​, click Results, then click Instructor Results.

  1. Search by instructor name.
  2. Click the down arrow under View on the right side of the screen of the project you want to view/print, and select View Detailed Report + Comments. The report will download to your computer.

View/Print Instructor Results for Multiple Projects

  1. To view and print instructor results for multiple projects, log into CES​​​​​, click Results, then click Instructor Results.

  1. Search by instructor name.
  2. Click each box on the left side of the screen to select all the courses you want to view/print for that instructor.
  3. Click Batch Report.

  4. Name the report.
  5. Under Report Type, select Detailed Report + Comments.
  6. Choose radio button Download Multiple Reports as ZIP File for Selected Courses, and then click Go.
  7. You will receive an email with the batch report.

View/Print Batch Report for One Project, Multiple Instructors

  1. To view and print a batch report for one project and multiple instructors, log into CES​​​​​, click Results, then click Project Results.

  1. Click the project you want to view.
  2. Click the By Instructor tab.

  1. Click each box on the left side of the screen to select all the instructors you want to view/print results for.
  2. Click Batch Report.

  1. Name the report.
  2. Under Report Type, select Detailed Report + Comments.

  4. You will receive an email with the batch report.

For additional resources including articles and videos, view Student Feedback Forms & Observations in the Support Center and Administrator Role on Watermark's website. You can also submit a request to ask a question, request a meeting with the Learning Resources Program Specialist. Requests submitted on Watermark’s website by anyone other than the Program Specialist get sent back and your question will take longer to be addressed.
