Unpublished Online Classes on the First Day of the Quarter - Procedure*
*Relates to faculty of fully online classes ONLY
For spring 2019 onwards
- Current eLearning Student webpage and quarterly class schedule alert students (see prior quarter step #1).
- At the end of the prior quarter (so, by March 18, 2019), then again on day 1 of current quarter, if needed: eLearning Services sends announcement/message sent out via eLearning Faculty Resource site: all eLearning faculty get this if Canvas notifications are turned on. (For content of message, see prior quarter step #2).
- 5 days before quarter start (Dec 28, 2018) and stays up through day 3 of quarter: eLearning Services puts up global announcement in Canvas just for faculty.
- On day 1 of quarter): if a student complains (see prior quarter, step #4).
For winter 2019
- Current eLearning Student webpage says: BAD LINK “You should be able to access your fully online Canvas classroom by noon on the first day of the quarter. Online access to your hybrid and web-enhanced classes may occur later and varies by instructor.” The same information is in the quarterly class schedule
- Jeff: please update webpage
- Ann: update the language for the print schedule 2019 class schedule.

Subject line: Please publish online Canvas classes by 12 Noon on day 1 of the quarter
Dear Online Faculty,
As you are planning and developing your fully online classes for [quarter], please remember to publish your fully online course by 12 noon on the first day of the quarter. If you think that you might not be able to publish your course by then, please reach out to eLearning Services at elearning@shoreline.edu for assistance.
If you think your course is not ready to publish on the first day of the quarter [add day & date], consider giving students access to your Canvas class via a homepage that has the following information:
- Your Name and Contact Information
- Course Name and Number
- Required Textbooks

Be sure to make any old, unprepared content unavailable to students. Here are two good options for doing this:
- If you already have imported previous course content into your Canvas shell, consider hiding all the Navigation tabs except for the Home Page. The Home Page will show just the information listed above. Full instructions on Managing Canvas Navigation Tabs here.
- If your Canvas shell is empty, consider beginning by only importing the content for the first week or two of the course. This way you can quickly update this content for students and then work on the other content as time allows. Information on how to Import Selected Content in Canvas here.
While this occurs very rarely, please note that having an unpublished class on the first day of the quarter can create an inequitable situation for students as some students will have access to their online classes and others will not.

- 5 (business?) days before quarter starts (Dec 21, 2018) and stays up through day 3 of quarter: eLearning Services (Amy) puts up global announcement in Canvas just for faculty.
- On day 1 of quarter/January 7, 2019: if a student complains that their online Canvas class is not published, eLearning will:
- Tell the student that we are contacting their faculty member and give the student the faculty contact information and encourage the student to contact the faculty member directly too.
- Give the student the textbook information and encourage them to get the textbooks ASAP
- Ask the student to get back to eLearning Services later in the afternoon if online course is still not published.
- Email the faculty member the “Please publish online Canvas classes by 12 noon day 1 of the quarter” message (see step #2 above)
- Email the Dean with a cc: to Division Admin Assistant 4 with the faculty member’s name, class name/#, and remind them that eLearning just emailed the faculty member again with directions on how to publish their Canvas class. Deans agree that they will contact the faculty member ASAP and that it is the faculty member’s responsibility to have their online class published on 12 noon of day 1 of quarter.
