How to Print (For Employees)

Summary

As we continue to progress forward in rolling out increased access to printing, TSS is proud to announce Network Printing (for employees on a wired connection) and Print via Email (for all employees, both wired and wireless). This is article will provide step by step instructions as well as helpful tips and tricks to use when trying to print to a Ricoh machine.

TSS is provides Network Printing (for wired Internet connected employees) and Print via Email (for all employees regardless of Internet connection type). This is a process all employees can use right now as long as they have a Printing PIN code. This article has many tips and tricks to help you get started.

Every Employee at Shoreline (who has received a PIN Code after August 1st 2024) can send a file (via attachment) through email and release that print job from any Ricoh printer on campus. Your print job will never print until you go to the printer and explicitly select for it to be printed.


Please follow these steps to Print Via Email: 

  1. Compose a new email message to RicohCopiers@Shoreline.edu 
  1. Attach the file you want to that message 

  2. Click Send! 

  3. Go to any Ricoh Printer on campus to sign in and release your print.  

    • If you are unsure how to do this step Please refer to the "How to sign in and Print from a Ricoh Printer" section below.

A few things to remember about Printing Via Email: 

  • You can print from any device, anywhere.

  • When you send a file to print via email, you can print it from ANY Ricoh printer across campus! 

  • If you attach a file or forward an email to the Ricoh Printer, the print job may not be available to print until you receive a confirmation email that Ricoh has finished processing the documents.  

  • You will sometimes see an email from RICOH-SLNX-PrintByMail letting you know your print is ready to be printed and available on the Ricoh. 

  • An example of the email:

  • If you attach a file that is in a format the Ricoh printer can’t support, you’ll get a message stating:

    • “The following attachments were unable to be printed:”

How to sign in and print from a Ricoh Printer/Copier:

  1. Step 1: 

    Before you can send a print request to the Printers, you will have received a 6 digit PIN code to your Employee Email Account.

    *Note: If you haven't received a PIN Code, please submit a Shoreline Support Request (PIN Code Request) and TSS will send you a 6-digit PIN code

  2. Step 2:

    When at the printer, Tap the screen to wake it up (if the screen is black). Select “Use PIN Code” and enter your 6 digit PIN code. You’ve now successfully signed into the printer!

  3. Step 3:

    You should see three choices, Copy, Secure Print and USB PrintSelect Copy to copy a printed document. Select Secure Print to view your pending Print Jobs and to print your file. Select USB Print to view eligible files from an inserted USB drive. (aka FlashDrive)

  4. Step 4: 

    This is where the printing part happens.

    On this next screen, you’ll see all files you’ve sent to the printing network waiting and available to print. It’ll tell you the title of the document/file, number of pages and many other items. Just tap on each file to select it or unselect it. You will know it's selected because the file will be Yellow with a check mark on the left.

    Select Start to print. This will print all files that have been selected, any unmarked files will still be pending to be printed at a later time.

  5. Step 5: 

    When you are done Printing, make sure you log out of the machine. Do this by selecting LOGOUT in the top right corner of the screen next to the moon icon. 

    *Note: The system will automatically log you out after 15 seconds if you do forget however, if there are people waiting to print after you and you don't log out, they can see any of your remaining print jobs. It is always BEST to log out when done printing on that printer.
