Printing From your Computer

  1. Open Your Document:
  • Begin by opening the document that you want to print on your Computer.
  1. Save to a USB Device in a PDF Format:
  • Depending on the application you’re using, locate the File menu and select Save as PDF.
  • Save to a USB device.

Printing, Copying, and Scanning Functionality

  1. Using the Device:
  • When you’re ready, approach the Ricoh. If the screen is blank, tap the touchscreen to wake the Ricoh.
  • Select "Guest User"
  • Select "System Home" in the top left corner of the screen to navigate to the home screen
  • Selecting Functions:
    • Currently there are three functions available for immediate use, including copying, scanning to a USB device, or printing from a USB device.
    • Printing:
      • Printing from a USB device is enabled until full configuration can be deployed.
        • To access this, select the button labeled "Print/Scan(Memory Storage Device)".
      • Ensure your USB device is connected to the USB port on the left hand side of the screen panel. When the USB is ready, you will see a message stating “Memory storage device has been inserted.”
      • Select “Print from Storage Device”
      • Select “USB” button
      • Navigate to and select the document you wish to print.
      • Adjust any printing options via the touchscreen.
      • When ready touch the Start button.
    • Copying:
      • Place your documents in the feeder or open the top and place your document on the scanner bed.
      • Select the “Copy” icon on the Home Screen.
      • Adjust the scanning options via the touchscreen.
      • When ready click the Start button
    • Scanning:
      • Scan to a USB device is enabled until full configuration can be deployed.
        • To access this, select the button labeled “Print/Scan(Memory Storage Device).
      • Ensure your USB device is connected to the USB port on the left hand side of the screen panel. When the USB is ready, you will see a message stating “Memory storage device has been inserted.”
      • Select “Scan to Storage Device”
      • Select “USB” button
      • Select the location for the file. If you wish to scan to the root of the USB device, you will not need to do anything further at this point. Otherwise, select the folder where you want the file to reside.
      • Place your documents in the feeder or open the top and place your document on the scanner bed.
      • Adjust the scanning options via the touchscreen.
      • When ready touch the Start button.
    • NOTES:
      • Please remember to remove your original documents from the Ricoh device once you are finished.
      • At any time, you can return to the home screen by selecting the Home button at the bottom center of the screen. You can also navigate back one page by selecting the back arrow at the bottom of the screen.
      • To avoid any issues, safely remove your USB device by first selecting the button resembling a USB device with a green checkmark on the lower left side of the screen.

Important information for USB drive issues

Most flash drives that were used on old Ricoh machines will work with the new Ricoh machines; however, TSS has received reports that some flash drives are not being recognized by the new Ricoh machines across campus.  Please see the instructions below if you are having issues with your flash drive being recognized on the new machines:


IMPORTANT: The following steps will erase all data on the flash drive. Please temporarily move ALL files from the flash drive onto a folder on your computer, only AFTER this task reformat the flash drive with FAT32 File System.

  • To reformat the flash drive:
    • For PC:
      • Open the File Explorer and right-click on your Flash Drive.
      • On the popup menu click "Format".
      • Make sure that “FAT32 File System” is selected.
      • Uncheck "Quick Format" option, if checked.
      • Click "Start".
      • After it is finished, close the "Format" window.
      • Your flash drive is now formatted. You can now move your files from the temporary folder back onto your flash drive.
    • For Mac:
      • Open the Disk Utility app and right-click on your Flash Drive.
      • On the popup menu click "Erase".
      • Make sure that “MS-DOS (FAT)” is selected.
      • Click "Erase".
      • After it is finished, close the "Disk Utility" app.
      • Your Flash Drive is now formatted correctly.
  •  Notes:
    • After completing the above steps, if your flash drive is still not recognized by the Ricoh machine, you may need to use a different brand of flash drive (SanDisk, Kingston, etc.).
    • Please keep in mind that flash drives with a larger amount of data may take a little longer to be recognized. If you have a large drive, please give a little extra time for the Ricoh machine to recognize the device.
