How to set up Quiet Dining Room (QDR) for Hybrid Meetings

Please follow these steps to set up a successful hybrid meeting in the Quiet Dining Room in PUB.

Set up the QDR's Podium

  • Unlock the AV Closet and carefully roll out the podium. The podium set-up includes one wireless handheld microphone and PA speaker sound.
  • Plug the orange extension cord into the wall outlet, and the cover the cord with a floormat to prevent tripping. Make sure the power strip is connected to the extension cord, you will see the orange power-on light on the power supply.

  • Turn on the top audio-technica wireless mic receiver. The screen will illuminate. The bottom unit is no longer in operation.

  • Turn On the Podium PA and Speaker. The unit’s power switch is on the left hand side, the speaker power switch is on the upper right hand side of the unit. See image below.

  • Locate the wireless mic. Should be in the drawer of the AV Rack in closet. If not, check the podium and other areas of the AV Rack.
  • Turn On the wireless mic using the power button on the bottom of the mic.
    • To adjust the mic’s level (volume), use the Aux Mic knob on the podium’s control panel.
    • Replace the mics two AA batteries, if needed. (extra batteries in AV Rack drawer).

 

AV Closet Operation

  • Use the AMX control panel to turn on the AV system, the projector, and computer sound system. NOTE: Sound from the wireless microphone is from the podium’s speaker, not the installed AV system. Login Pin: 1964

  • Next Screen, Press OK to turn on AV System.

  • Select PC and projector will power on, and projection screen will lower.

Select a source to begin with icons along the top. PC is the 5th from left.

 

Zoom and Meeting Owl Set up

You will need to bring a laptop and a Meeting Owl to the QDR.

 

Set up Laptop with Meeting Owl

  • Set-up laptop and Meeting Owl on table closest to the podium to ensure podium speaker is clearly picked-up by the Meeting Owl microphone.
  • Bring an extension power cord or use the power strip in the podium, to power the Meeting Owl and the laptop.
  • Plug the Meeting Owl’s USB cable into one of the laptop’s USB ports.
  • Launch the Zoom app on the laptop and start meeting. Select Meeting Owl for the camera, speaker, and microphone within Zoom’s settings or via the Zoom menu bar.
  • If anyone is presenting slides/content in the room, they should access their content on this laptop.
  • Facilitator monitors chat on the laptop and coordinates with the presenter.

 

Set up the Installed Windows PC in AV Rack

  • Sign-in to the computer with your Shoreline credentials, or use a Guest Login option.
  • Download Zoom app from zoom.us/download website. Install Zoom.
  • Launch the Zoom app on the laptop and start meeting.
  • NOTE: Do Not “Connect Computer Audio.” This prevents feedback from occurring. The Meeting Owl provides audio for the room, not the installed PC.
  • Start Zoom Captioning
  • Make sure projected image is the installed computer/Zoom meeting. If not projecting computer, select PC again on the AMX control panel.

 

Breaking Things Down

  • Log out of Zoom on installed PC in cabinet.
  • Sign-Out of the computer installed PC in cabinet. DO NOT SHUT IT DOWN.
  • Shut Down the AV System by pressing Exit on AMX panel. This will raise the projection screen and turnoff the projector.
  • Turn off microphone and return it to the AV Rack drawer.
  • Return podium to the closet (optional).
  • Close and Lock the AV Cabinet.
  • Take apart the Owl and laptop set up and take with you.
  • Lock the AV closet and return the Media keys to the library or call Security to lock the AV closet.
